How we work together
We work with your operating partner or MDP and the portfolio-company management team. Scope, named builders, weekly fees and the option to continue, adjust or stop are agreed before starting. You review delivery each week against an observable operating outcome.

The senior team writes and configures the solution, establishes the required infrastructure and tests the workflow. Team, weekly rate and initial scope are agreed upfront; the engagement can move from prototype to integration and operating ownership over successive weeks.

Source & context
The November 2025 study evaluated 15 AP solution providers using vendor briefings, ratings and customer feedback. It reports 60% average touchless invoice processing and 59% shorter AP cycle times after implementation. Customer sample size is not disclosed. It is not SMB-only, and touchless invoice share is not the share of labor removed. The Hackett Group · 2025

05 / Before we start
Get clear on the implementation
Practical answers for operating partners and portfolio-company leaders.
01
Where should a PE portfolio company start with AI?
Start with a recurring process that has enough volume, accessible data and an accountable owner. Invoice-to-cash, accounts payable within procure-to-pay, and management reporting within record-to-report are useful candidates. We compare the operating baseline, implementation effort and route to cash or cost reduction before choosing the first workflow.
02
What does the AI implementation team actually deliver?
Working prototypes, system integrations, deployment, testing and practical user training. The delivery team combines hands-on AI and engineering backgrounds with experience at McKinsey, BCG or Bain. You work directly with the people building the solution; named people, availability and responsibilities are agreed before work starts.
03
How does a weekly implementation engagement work?
We agree the team, weekly rate and initial scope upfront. Each week, we prioritize the next deliverable with the operating partner or MDP and the portfolio-company owner, build and demonstrate it, then decide whether to continue, adjust or stop under the agreed terms. The timeline depends on access, process complexity and acceptance testing.
04
Can AI automate a finance process end to end?
Eligible routine transactions can move through capture, validation, processing and recording without manual handling when the data, integrations and controls support it. Exceptions, approval policy, accounting judgment and control ownership still need accountable people. We first prove a contained workflow, then increase straight-through coverage where the evidence supports it.
05
Can finance automation reduce headcount or EBITDA costs?
It can support a reduction in roles, contractor spend or planned hires when enough work has been removed and the remaining work can be covered. Released hours alone do not create an EBITDA saving. Finance must validate the cost action, timing, remaining oversight, recurring technology costs and one-time transition costs.
06
How should we calculate savings and payback?
Measure the FTE effort dedicated to the selected process and the fully loaded cost. Estimate the net effort removed after review and exceptions, then identify the spend that can actually leave the cost base. Subtract ongoing technology and support costs. Compare that recurring cash benefit with implementation and transition costs.
07
Can you connect AI to Microsoft 365, Xero and our ERP?
We assess your existing Microsoft 365, ERP, CRM and finance environment, including Xero where relevant. We use supported APIs, connectors or controlled exports according to access, licensing and technical fit. Permissions, data handling, failure recovery and an operating owner are part of the implementation.
08
How do we scale AI across the portfolio?
Prove the workflow in one portfolio company, record the economics and operating requirements, and reuse the tested components where the next company has a comparable process. Each rollout still needs its own system access, data validation, owner and benefit baseline.
